Steps for Data Use

This page is an English translation of information for organizations based in Japan. The data utilization service will be available for organizations outside Japan at a later date.

Application, review, contract and data utilization

    Research planning

    To apply for the use of the C-CAT portal site, please download “C-CAT Data Utilization Application Form” from the “Utilization” page of this website, fill out the Form, and submit it to Section of Data Science Strategy, Center for Cancer Genomics and Advanced Therapeutics (C-CAT) (E-mail: c-cat_useml.res.ncc.go.jp), with copies of the research protocol reviewed by the REC and the certificates of the approval by the REC and the head of your institution. Alternatively, summary of the research proposals can be submitted, if the proposed research is not subjected to the ethical guidelines.

    Licensing agreement for data use

    After the approval by the C-CAT Data Utilization Review Board, “Agreement on Utilization of C-CAT Data” is concluded with C-CAT.

    The access license to the C-CAT Research-Use Portal site is granted after the Agreement is concluded with C-CAT, and the fee is paid.

    Start using the C-CAT Research-Use Portal site

    Once the access license to the C-CAT Research-Use Portal site is granted, users can access the portal site from their own registered PC using TLS certificates. Members of Hospitals for Cancer Genomic Medicine can access the C-CAT Research-Use Portal site via the Cancer Genomic Test Portal of their institution. The access license is valid for a year, and the application for utilization extension and license renewal are required every year.

Preparation of application

Preliminary search by the Number-of-the-Record Search

“Number-of-Records Search” (formerly “Simple Search Portal”) is available for checking the number of the registered data (records) of your interest prior to the application for the C-CAT Research-Use Portal site. The Number-of-Records Search function provides combination search by selecting clinical information and gene mutation results, just as the actual C-CAT Research-Use Portal site does, but it only displays the number of the search results. The Number-of-Records Search function can be used for free of charge, but a simple registration is required by entering your name, e-mail address (free personal address, such as Gmail or iCloud mail, is not acceptable), country/region and the types of your affiliation. The privacy policy of the Number-of-Records Search website is same as that of National Cancer Center website.

Approval from the Research Ethics Committee

In principle, the approval from the REC and the head of your institution is a prerequisite for application. However, the approval by REC may be waived for researches that are not subject to ethical guidelines. The following materials may be requested for the REC review:

Acquisition of public research grants (optional, for research institutes such as universities only)

Access to the C-CAT Research-Use Portal site is free of charge for the researches conducted by the investigators in research institutes such as universities and supported by public research grants, which are operated based on the national policies/criteria, such as those awarded by AMED, Ministry of Health, Labour and Welfare, Ministry of Education, Culture, Sports, Science and Technology (Please see the “About Fees” page).
